PF Return Filing

Monthly ECR preparation, challan payment support and filing on the EPFO portal, including new joiner and exit updates and catch-up of delayed months.

Overview

PF return filing is the monthly routine that every EPFO-registered employer has to follow: prepare the Electronic Challan cum Return (ECR) for the month, upload it on the EPFO Unified Portal, generate the challan and pay the contribution. Alongside, new joiners are enrolled, exits are recorded and member details are kept current. Establishments with no employees contributing in a month still have to remain compliant, and Zenith can handle that too.

Who needs it

  • Every establishment already registered with EPFO, including those that registered voluntarily.
  • Employers that have fallen behind on ECRs and need the arrears cleared and reconciled.
  • New employers filing their first ECR after registration.
  • Businesses with zero contributing employees that still need nil filings.

What Zenith does

We listen first, check the status of your EPFO account and clarify the scope: ongoing monthly service, a catch-up of past months, or a one-time filing. You receive a tailored quotation, a relationship manager and a checklist, and updates at each milestone.

  • Builds the ECR from your payroll data, validates UANs, wages and contribution splits.
  • Generates the challan, shares it for payment approval, and files the ECR.
  • Records new joiners and exits and tracks KYC mismatches.
  • Computes interest and damages and prepares the payment where past months are delayed.
  • Provides acknowledgements and a month-wise compliance record.

Filings are made only through appropriately authorised professionals, subject to eligibility and applicable rules.

Eligibility and key rules

  • ECR and payment share the same date: the 15th of the following month.
  • The return reports, for each member, wages, the employee share, the employer's EPF share, the EPS share and EDLI.
  • Nil filing is required even when no contribution is due in a month.
  • Contribution is 12% of PF wages from each side with a ₹15,000 wage ceiling for compulsory coverage; the employer's 12% splits into 3.67% EPF and 8.33% EPS.
  • EDLI and administration charges are paid by the employer on top, each at 0.5% of wages.
  • An annual return component also exists in public guidance, but sources differ on the exact date and form, so Zenith confirms the current requirement for your account.
  • Related forms in public guidance: Form 11 and Form 2 at joining, and Form 5 and Form 10 for new and exiting members.

Documents required

  • EPFO establishment code and portal credentials.
  • Monthly salary register with attendance, joiners and leavers.
  • UAN list with Aadhaar and bank seeding status.
  • Previous ECRs, challans and any EPFO notices.
  • DSC of the authorised signatory, where the account is linked to one.
  • Bank access for the challan payment.

Process and timeline

  1. Share the month's payroll and changes.
  2. Zenith builds and validates the ECR file and reconciles to payroll.
  3. You approve the figures and the challan.
  4. Payment is made through the portal before the due date.
  5. ECR is filed, acknowledgement and receipts are shared.
  6. Mismatches, rejected UANs and exits are fixed in the same cycle.

Timing depends on how soon payroll inputs reach Zenith and on portal and bank processing.

Government fees, penalties and due dates

  • No fee for filing on the EPFO portal.
  • Due: 15th of the following month for both ECR and contribution.
  • Interest at 12% a year on late contributions.
  • Damages by delay band: 5%, 10%, 15% and 25% a year of the arrears for delays up to two months, two to four, four to six and above six months.
  • Continued default can lead to inspection, recovery and prosecution under the Act.
  • Public guidance also lists late fees for annual returns, but the figure is not consistent across sources and is confirmed against your account.

Amounts and dates above reflect public sources read in October 2026 and change with notifications, so Zenith confirms the current figures in your quotation.

Common mistakes

  • Paying the challan on the 15th itself when the bank cut-off has passed.
  • Uploading an ECR with UANs that are not activated or whose names do not match Aadhaar.
  • Calculating PF on gross pay rather than PF wages.
  • Skipping nil filing in months with no contribution.
  • Not marking exits, so ex-employees remain on the rolls.
  • Ignoring EPFO notices until damages accumulate.
