EPF Registration

Registration of your establishment with EPFO, with employee UAN setup and a briefing on monthly contributions, so you can begin provident fund compliance.

Overview

EPF registration enrols your establishment with the Employees' Provident Fund Organisation (EPFO) under the Employees' Provident Funds and Miscellaneous Provisions Act, 1952. Once registered, the establishment receives an establishment code and each eligible employee gets a Universal Account Number (UAN). From then on you deduct the employee share from salary, add the employer share, and remit both every month. The scheme has three parts: the provident fund itself, the Employees' Pension Scheme (EPS) and the Employees' Deposit Linked Insurance scheme (EDLI).

Who needs it

  • Any establishment that has 20 or more employees, in a covered industry or class.
  • Establishments below 20 employees that choose voluntary coverage so that employees are covered from the start of employment.
  • Newly incorporated companies that are about to cross the headcount threshold.
  • Contractors or staffing businesses whose workers fall under the Act.

What Zenith does

Zenith listens first to understand your headcount, wage levels and any existing registrations, then confirms the scope and gives a tailored quotation. A relationship manager is assigned and you receive a checklist for your entity type.

  • Confirms whether registration is compulsory or voluntary in your case.
  • Prepares the establishment details, employee list and documents.
  • Sets up the portal user, attaches the authorised signatory's digital signature certificate (DSC) and submits the application.
  • Supports generation and activation of UANs and KYC seeding for employees.
  • Explains the monthly challan and return routine, then hands over the credentials and certificate.

Eligibility and key rules

  • Registration is expected within about a month of reaching 20 employees. Once covered, an establishment stays covered even if headcount later falls below 20.
  • Voluntary registration is open to smaller establishments and brings them under the full Act.
  • Establishments with a comparable own provident fund scheme can seek exemption but must still report to EPFO.
  • Contribution is usually 12% of PF wages from each side. PF wages are the fixed pay excluding HRA, and the compulsory wage ceiling is ₹15,000 a month. Employees may contribute more; the employer is not obliged to match it.
  • The employer's 12% splits into 8.33% to EPS (capped at ₹1,250 a month) and 3.67% to the EPF account. The employer also pays EDLI at 0.5% and administration charges at 0.5% of wages.
  • A lower 10% rate applies in limited cases, such as certain industries or establishments with heavy losses.
  • Registration is online through the EPFO and Shram Suvidha portals. New companies may also be able to request EPFO and ESIC codes along with incorporation.

Documents required

  • Certificate of incorporation, MOA and AOA for companies; LLP agreement; partnership deed; registration certificate for trusts or societies; PAN and identity proof of the proprietor for sole proprietors.
  • PAN of the establishment and GST certificate if registered.
  • List of directors, partners or trustees with IDs and addresses.
  • Address proof of the establishment, such as a rent agreement or utility bill.
  • Cancelled cheque or bank details of the establishment.
  • Digital signature certificate of the authorised signatory.
  • Employee list with date of joining, wages, PAN, Aadhaar and bank details, and the salary or wage register.
  • Factory licence where relevant.

Process and timeline

  1. Confirm applicability and collect documents.
  2. Obtain or confirm a valid DSC.
  3. Create the portal user and fill in establishment, employer, employee and bank details.
  4. Upload documents and attach the DSC to submit.
  5. EPFO verifies and allots the establishment code, with the registration letter.
  6. Generate and activate UANs for employees and complete KYC.
  7. Start monthly contributions and returns.

Timelines depend on completeness, complexity and authority processing; mismatches in names, addresses or PAN across documents are the commonest cause of delay.

Government fees, penalties and due dates

  • No government fee for registration is shown in the public sources read.
  • Monthly contribution and return: by the 15th of the following month.
  • Interest on late contribution: 12% a year.
  • Damages for delay: 5% a year for up to two months, 10% for two to four months, 15% for four to six months and 25% beyond six months.
  • Non-registration and wilful default can lead to prosecution, and EPFO may recover dues through attachment.

Amounts and dates above reflect public sources read in October 2026 and change with notifications, so Zenith confirms the current figures in your quotation.

Common mistakes

  • Waiting until headcount is well above 20 before registering.
  • Using different establishment names or addresses in the incorporation certificate, bank records and the application.
  • Applying without a working DSC or with the wrong signatory.
  • Treating the wage ceiling as a hard stop and not asking whether the employer pays on higher wages.
  • Failing to generate UANs for new joiners, which delays their KYC and transfers.
  • Forgetting that contributions are due even before the employee has linked Aadhaar.
