ESIC Registration

Registration of your establishment with ESIC, with employee insurance numbers and a briefing on monthly contributions and returns.

Overview

ESI registration enrols your establishment under the Employees' State Insurance Act, 1948, administered by the Employees' State Insurance Corporation (ESIC). The scheme provides medical care and cash benefits for sickness, maternity, disablement and death from employment injury. Registration gives the employer a 17-digit code, and each insured employee receives a 10-digit insurance (IP) number that stays with them across employers.

Who needs it

  • Factories and establishments that cross the employee threshold in a covered area.
  • Shops, hotels, restaurants, cinemas, road transport undertakings, newspaper establishments, educational institutions and medical institutions in notified areas.
  • Employers whose staff include people earning up to the ESI wage limit.
  • Establishments choosing voluntary coverage for smaller teams.

What Zenith does

We listen first, check your headcount, locations and wage bands, and clarify whether the law applies in your state. We then give a tailored quotation, assign a relationship manager and share a checklist.

  • Confirms applicability and the covered employees.
  • Prepares the employer and employee details and documents.
  • Creates the portal account, completes the common registration form and submits it.
  • Supports generation of insurance numbers, and the first contribution cycle.
  • Explains monthly payments and the periodic return, and hands over the certificate and code.

Eligibility and key rules

  • Coverage generally starts at 10 or more employees; in some states the establishment threshold is 20, so it varies by state.
  • Employees earning up to ₹21,000 a month are covered, and up to ₹25,000 for persons with disabilities.
  • Employee contribution is 0.75% and employer contribution 3.25% of wages. Employees with average daily wages up to ₹176 are exempt from their share, while the employer's share continues.
  • Wages for ESI include basic, HRA and most allowances, and exclude items such as annual bonus, gratuity and leave encashment on discharge.
  • Public guidance says registration is due within 15 days of becoming eligible.
  • Once covered, an establishment cannot drop out just because headcount falls.
  • Benefits include medical care for the family, sickness benefit, maternity benefit, disablement and dependants' benefits and funeral expenses.

Documents required

  • Certificate of incorporation or registration; MOA and AOA for companies; partnership deed for firms.
  • PAN of the establishment and of directors, partners or the proprietor.
  • Address proof of the registered office or factory, and any shops and establishment or factory licence.
  • GST certificate if registered.
  • Bank details with a cancelled cheque.
  • Digital signature certificate of the authorised signatory where required.
  • Employee list with date of joining, wages, Aadhaar and bank details, and the attendance and wage registers.

Process and timeline

  1. Confirm applicability and employees to be covered.
  2. Collect documents and details.
  3. Sign up on the portal and verify the mobile and email.
  4. Fill the common registration form for the establishment and upload documents.
  5. Submit and receive the employer code and registration letter.
  6. Register employees to generate IP numbers.
  7. Start monthly contributions.

Timelines depend on completeness, complexity and authority processing.

Government fees, penalties and due dates

  • No government fee is shown in the public sources for registration itself.
  • Monthly contribution: by the 15th of the following month.
  • Half-yearly return dates in public sources: 11 November for April to September and 11 May for October to March.
  • Late payment: simple interest of 12% a year, and damages in bands from 5% to 25% a year depending on the delay.
  • Wilful non-payment or false statements can lead to prosecution, with imprisonment up to two years and a fine in public guidance.

Amounts and dates above reflect public sources read in October 2026 and change with notifications, so Zenith confirms the current figures in your quotation.

Common mistakes

  • Assuming the threshold is 10 everywhere when the state threshold may be 20.
  • Leaving out employees who are within the wage limit because they are on contract or via a contractor.
  • Using wrong date of joining or wages in the employee list.
  • Not tracking the wage limit when an employee crosses it mid-period.
  • Delaying contribution and later losing the income tax deduction on it.
  • Missing the insurance number for new joiners.
