Accounts Cleanup and Reconciliation

Catch up on unwritten books, fix errors and reconcile bank, GST and party balances, so your accounts are accurate and defensible before a filing, audit, loan or funding round.

Overview

An accounts cleanup brings books that are behind, inconsistent or untrusted back to a reliable state. It covers writing up missing periods, correcting wrong entries, reconciling every bank and payment account, matching GST data to the books and confirming what customers and suppliers actually owe you. The result is a set of books and a trial balance that a tax return, audit, bank or investor can rely on.

Who needs it

  • Businesses that have fallen behind on bookkeeping for several months or years.
  • Owners who changed accountants or software and found balances that do not tie out.
  • Companies preparing for a statutory audit, a loan, due diligence or fundraising where books will be examined.
  • GST-registered businesses whose books do not match GSTR-1, GSTR-3B or GSTR-2B.
  • Businesses that received a tax or GST notice citing mismatches.

What Zenith does

Zenith starts by reviewing what exists and quoting the work for the period involved. A relationship manager is assigned and shares an assignment-specific checklist.

  • Reviews existing ledgers, identifies gaps, duplicates and unusual balances, and shares a findings note.
  • Writes up missing periods from bank statements, invoices and other records you provide.
  • Reconciles bank, credit card and payment-gateway accounts to the statements and clears long-pending items.
  • Reconciles sales and purchase registers with GSTR-1, GSTR-3B and GSTR-2B, supplier by supplier where needed.
  • Matches debtors, creditors, loans and advances to confirmations or statements.
  • Passes correcting entries with explanations, and lists items that cannot be supported by documents.
  • Delivers a cleaned trial balance and schedules, and moves the books into a monthly routine if you want that.

Eligibility and key rules

  • Cleanup does not change what actually happened; entries without supporting evidence are flagged, not invented.
  • For GST, input tax credit depends on a valid invoice, receipt of goods or services, the supplier paying the tax and the supplier filing the relevant return. The claim for a financial year must be made before the September GSTR-3B of the next year is filed (due 20 October).
  • Differences between the credit available in GSTR-2A or GSTR-2B and the credit claimed in GSTR-3B should be explained, and corrected in a later return where permitted.
  • Where returns were filed on wrong figures, amendment or revision may be needed; that depends on the return type and the time limits for each.

Documents required

  • Bank, card and payment-gateway statements for every period in scope.
  • Sales and purchase invoices, expense bills, credit and debit notes.
  • Existing books or exports from the accounting software, with the last closing balances.
  • GSTR-1, GSTR-3B, GSTR-2B and, if filed, the annual return for the periods.
  • Loan statements, party confirmations and fixed asset records.
  • Any notices received, with the reply history.

Process and timeline

  1. Assessment. Review of books and records; findings and scope shared.
  2. Data collection. You upload the documents against a checklist.
  3. Write-up and corrections. Missing periods recorded and errors corrected.
  4. Reconciliations. Bank, GST, parties and loans tied out; open items listed.
  5. Review. Trial balance and reconciliation schedules shared with a summary.
  6. Hand-off. Books handed over or moved into monthly bookkeeping.

Time depends on the number of periods, the transaction volume and how complete the documents are.

Government fees, penalties and due dates

Cleanup itself carries no government fee. Any amendments, late filings or notice replies that follow are separate and carry their own fees and interest.

Item Rule
ITC claim for a financial year Before the September GSTR-3B of the next year is filed, due 20 October.
Excess ITC claimed Reversal with interest.
Companies Act filings AOC-4 within 30 days of the AGM; late fees and penalties apply after that.

Amounts and dates above reflect public sources read in October 2026 and change with notifications, so Zenith confirms the current figures in your quotation.

Common mistakes

  • Plugging unexplained differences into a suspense or miscellaneous account.
  • Reconciling GST once a year instead of every period.
  • Treating the supplier's GSTR-1 data as final without checking invoice numbers, dates and GSTINs.
  • Ignoring old bank entries that were never matched.
  • Deleting or overwriting entries without leaving an audit trail.

FAQs

How far back can the cleanup go?

As far as documents allow. The scope is based on the periods you need for a filing, audit or other purpose and is agreed in the quotation.

Can you reconcile if the supplier has not filed their return?

Yes, the mismatch is identified and listed. Whether the credit can be claimed depends on the GST conditions, so Zenith explains the position per invoice.

Will cleanup reduce my tax?

It makes the figures correct. Where it shows a lower or higher liability than assumed, that is the result of accuracy, not a planned outcome.

What if some records are missing?

Items without documents are flagged and discussed. Alternatives such as bank evidence or supplier statements are tried first.

Do I need to stop using my software?

No. The cleanup can be done inside your current software or in a copy.

Can this be combined with filing?

Filing can be added after the books are reconciled, and is quoted separately.
